This section explains the authentication method using smartphone app.
If you are setting it up using only a smartphone, please refer to “Reference: Setting up using only a smartphone.”
Please note that the setup steps may change without prior notice due to changes in Microsoft 365 service specifications.

0.Preparation
- Please prepare both a smartphone and a web browser on your PC.

For app-based authentication, please install the “Microsoft Authenticator” app from Google Play or the App Store.
1.Sign in
- Access OUMail at https://portal.office.com using your PC web browser.
Enter your “Osaka University Personal ID@ecs.osaka-u.ac.jp” and the corresponding password, then click Sign in.
*If you are an alumni, enter your address in the format “XXXX@alumni.osaka-u.ac.jp” and the corresponding password.
- When the message “Let’s secure your account” appears, click Next.
- When the message “More information required” appears, click Next.
- The setup procedure varies depending on the authentication method.
- If you are setting it up using an app, please refer to “Setup Procedure (App Authentication)”.
- If you are setting it up via phone or SMS, please refer to “Setup Procedure (Phone/SMS Authentication)”.
2-1.Set up multi-factor authentication (using an authenticator app)

- Click Next until the QR code is displayed.
- Click Next until the QR code is displayed.

[Smartphone Operation]
- In the Microsoft Authenticator app, tap "Add account" and then select "Scan a QR code".
(On some devices, you may need to swipe the screen to see this option.) - When prompted with “What kind of account are you adding?”, tap "Work or school account".
- The camera will activate, so scan the QR code displayed on your PC screen.
(If a prompt appears when the camera starts, tap "Allow or OK".)
- In the Microsoft Authenticator app, tap "Add account" and then select "Scan a QR code".

Click "Next" and check the number displayed on the screen. -

Enter the number displayed on the PC screen.

Once the setup is complete, the following screen will appear. -

Setup is complete when “OUMail (The University of Osaka)” appears on the following screen.
2-2. Set up multi-factor authentication (via phone or SMS)
- Click Set up a different method.
- Click Phone.
- Enter your phone number, select either "Text me a code" or "Call me", and then click "Next".
- When the following screen appears, a call will be made to the smartphone, mobile phone, or landline you designated to receive the verification call. Answer the call and follow the instructions provided in the message.
*There is no charge for receiving phone calls or SMS messages under normal circumstances. However, if data roaming is enabled on your smartphone or mobile phone (especially when abroad), additional charges may apply. Please check with your mobile carrier regarding data roaming settings and fees.
*If you selected SMS, please enter the code you received into the input field on the screen. - When the following screen appears, click "Next", then click "Done".

- Access OUMail at https://portal.office.com,enter the following information:
- Osaka University Personal ID@ecs.osaka-u.ac.jp
- Password for your Osaka University Personal ID
and click Sign in.
If you are an alumnus/alumna, enter “XXXX@alumni.osaka-u.ac.jp” and the corresponding password.
- Click Next until the following screen appears.
If you are using app-based authentication, click Click this link to pair your account to the app. - When the Microsoft Authenticator app launches, click Next.
After checking the number displayed, click the pop-up and enter the number into the Microsoft Authenticator app. - Setup is complete when the following screen appears.
